In attendance: Darryl Tocker, JoAnne M. Moore, Dianna Dorman, Carol Roark, Tracy Lash, Peggy Rudd, Erica McKewen, Peggy Oster, Susan Dorsey and Sandy Pickett.
Call to Order
Darryl Tocker, President called the meeting to order.
Reading and approval of minutes from January 19, 2007, board meeting
Corrections to the minutes were made and then they were approved and sent to the Minute Book.
Treasurer’s Report
Darryl gave the treasurer’s report for Mickey Schott, who was absent. $10,000 for writing and research of the Texas State Library and Archives Commission has been granted to professor David Gracy. To date $1,027.50 has been spent on this project. Darryl and Mickey are working on an annual report to gather information on all accounts, endowment account, and projects with the community.
Texas State Library Report
Library Legislative Day Reception:
Peggy Rudd reported that the Legislative Day was a resounding success! A fine delegation from all over the State attended the event. Nadine Craddock along with about 25 Legislators, staff members and spouses were in attendance. About 200 people attended. The flags and documents with the staff narrative were well received and it was a very rewarding event. There was a lot of press earlier in the day as well as press at the event. The event was captured on live news, in the Daily Texan and in the Austin American Statesman. TLA funded the refreshments. Barbara Chisum was a great touch for the historical significance. Twice as many people visited the Talking Book Program as during the previous reception. There were a lot of good photos taken that will be used in other ways to publicize the Archives.
Board development activities:
TSLAC staff will put together activities they are working on and bring information back to the board.
Membership Report
A letter to encourage renewal of memberships has been written and will be going out. As a “thank you” for renewals, four cards depicting flags from the holdings of TSLAC will be sent upon receipt of membership renewals. These cards are estimated to cost $1,030. A motion to approve $1,030 to pay for these cards was made by Carol and seconded by Dianna. The vote was taken and passed with board approval.
Old Business:
Confederate Pensions are the most used collection at TSLAC. A proposal has been received by iArchives to scan and digitize the images and post these images to their Web site for a five-year time frame. TSLAC is countering with a three-year time frame, and at the end of this time, the images would become the possession of the agency, and posted to the state library’s Web site. TSLAC believes this project is mutually beneficial and a draft of the contract outlining the work will be reviewed by the Attorney General’s Office.
John Anderson has identified some interesting photos depicting construction of the Lorenzo de Zavala Building. The past construction will act as a backdrop, as Peggy Rudd discusses the new building project and updates attendees at April’s annual TLA Conference in San Antonio on the progress.
Kathleen Jenkins, not in attendance, is moving forward to obtain more funding for the Texas Stories Program. She is also trying to get additional radio coverage on the Web and is working on partnering with Texas Highways.
Lynn Boswell, with the Bill Malone Documentary, was not able to attend, as her mother is terminally ill. Her project is currently on the back burner, however, Lynn remains very committed to the project.
The history of TSLAC that David Gracy is working on has received a $10,000 grant from The Summerlee Foundation. UT Press is eager to publish this book. It was suggested that in lieu of payment, David would take the royalties in lieu of being paid for his work on the project.
New Business:
Nominees to the Executive Board and Board of Directors will be taken between now and the annual meeting. Those whose terms will expire in April 2007: Ramon Noches, Nelda Laney, Dianna Dorman and Susan Dorsey, all accepted another term.
The board agreed upon a proposal to amend the By-Laws, Article III, to read, “There shall be no fewer than seven nor more than twenty-five Directors, who will be members of the Friends elected at large by the majority of membership at the annual meeting.” The board will take the proposed amendment to the membership at their meeting in April.
April 17 is National Library Worker’s Day. Carol made a motion to spend up to $1,000 and treat staff to Pizza on this day. Dianna seconded the motion and after a vote was taken, it passed unanimously.
There being no other business, the meeting was adjourned.
