Board Meeting Minutes
March 16, 2005

President JoAnne Moore called the meeting to order at 2:05 p.m.
1. Approval of the Minutes
Darryl Tocker moved to approve the minutes of the January 28, 2005 meeting; Pat Smith seconded. Motion passed.
2. Treasurer's Report
Erica McKewen reviewed the financial report, and created a revised report during the meeting to reflect an additional debit and a deposit. Follow up action will be taken with Compass Bank to eliminate monthly charges for the return of canceled checks. The account balance at the close of the meeting was $12,114.63. A remaining balance of $4,073.51 will be paid to Word of Mouth catering for the Legislative Day reception held February 16, 2005.
3. Update: Partnership with Texas Stories
Kathleen Jenkins of Texas Stories gave the board an update on the Texas Stories radio program. She is working to land additional affiliates to create momentum before approaching the major markets.
4. Planning for Annual Membership Meeting; Discussion and Approval of Board Member Nominations
The Friends annual membership meeting will take place at the TLA Annual Conference in Austin on Wednesday, April 6 from 2:00 to 3:50 p.m. following the Friends program. Elections will be held.
Five board members have terms expiring as of that meeting:

JoAnne Moore, President
Five nominees were discussed and approved:
Kim Brimer, Texas State Senator, District 10
Jose Menendez, Texas House of Representatives, District 124
JoAnne Moore (1 year extension, as Past President; she has accepted this invitation)
Carol Roark, Dallas/Fort Worth
Sandy (Melton) Stephens, Dallas
The following have been nominated as officers for the coming year:

Susan Smith Dorsey, Secretary

5. Old Business: Legislative Day Reception
The Legislative Day reception sponsored by the Friends was a success and enjoyed an excellent turn out. Erica shared photos from the event with meeting attendees.
The following comments and suggestions were made for future planning purposes: the Capitol Complex/Texas State Library and Archives Commission (TSLAC) is a great reception location; it was a good idea to place dessert/coffee in the Talking Book Program Studio on the 4th floor; vendor support could be sought for bi-annual Legislative Day reception expenses; the Archives impressed Legislators; TSLAC assets were nicely displayed and knowledgably overseen by staff; chairs for attendees with mobility challenges could be made available in the lobby in addition to the cocktail tables; a receiving line could be formed to greet guests; nametags for spouses (of Legislators) could be provided; and, the invitations featuring an historic flag were thematic and beautiful.
JoAnne praised the Spring 2005 Friends Forecast newsletter distributed with the Membership Drive mailing.
6. New Business
The Friends is sponsoring a program at the upcoming TLA Annual Conference in Austin on Wednesday, April 6 from 2:00 to 3:50 p.m. ('Governor W. Lee O'Daniel and Photographs of an Era') and the annual membership meeting will follow the program. The event will be held in the Austin Convention Center in Room 13A on Level 4. Food will be provided.
Also on Wednesday, April 6, a replication of the Legislative Day reception will take place at TSLAC from 5:00 to 6:30 p.m. following the Rally for Texas Libraries at the Capitol. The Rally will feature beating drums by Drum Café in support of Texas libraries. The reception will offer newspaper editors, representatives from the Texas Book Festival, Friends board members and other VIPs the opportunity to view rarely displayed Texas treasures held by TSLAC.
7. Adjournment
JoAnne adjourned the meeting at 3:15 p.m.
