Meeting Minutes—2004

July 13, 2004

Board Meeting
Hyatt Regency Hotel, 208 Barton Springs Road, Austin, Texas

President JoAnne Moore called the meeting to order at 4:10 p.m.

1. Welcome and Introductions
The sixteen members and guests in attendance introduced themselves and the organizations they were representing.

2. Approval of the Minutes
Ramon Noches moved to approve the minutes of July 11, 2003; Jenifer Flaxbart seconded. Motion passed.

3. Treasurer's Report
The Financial report was read.

4. Report and Proposals from the Texas State Library and Archives Commission, Peggy D. Rudd
Director and Librarian Peggy D. Rudd reported on the recent happenings of the Texas State Library and Archives Commission. It was announced that TSLAC had been ordered to reduce their budget by 5%. TSLAC has been working with the Texas Building and Procurement Commission to begin the process of renovations on the Lorenzo de Zavala Archives and Library Building, along with the other two facilities, Shoal Creek Blvd. and the Sam Houston Center in Liberty, Texas, that house TSLAC.

The director and librarian then outlined two proposals for consideration by the Friends. Proposal: A reception in conjunction with the Texas Library Association sponsored Legislative Day. It was asked that the Friends work with TLA and TSLAC to make this happen. A motion was passed by Ramon Noches to support the concept of a Legislative Day reception with details to be decided by the executive board of the Friends. Jenifer Flaxbart seconded. The topic was discussed by the group. It was suggested that the Friends seek additional support from the Society of Southwest Archivists. A vote was held. Motion passed.

Proposal: A possible fundraising idea was brought to the board that would include producing facsimiles of treasures from the TSLAC archives, and selling them to the public. The idea was presented that the Friends look into choosing things from archives that they would want to duplicate, the cost of the reproduction, and what might be sold as a fundraiser and to promote the archival treasures found in the TSLAC collection. The group decided to look further into this proposal and bring their findings to the next Friends meeting on October 28.

5. Guest Presentations and Proposals
Chris LaPlante, director of the Archives and Information Services division, gave a presentation on the archival materials that might be suited to duplication and sale to raise money for the Friends.

John Anderson, photo archivist in the Archives and Information Services division, collaborated on and wrote the introduction for a book on the Texas tours of former governor W. Lee "Pappy" O'Daniel, which he presented to the Friends. Following the presentation, they were asked to donate framing of a facsimile photograph, from the book, to be auctioned off at the Texas Book Festival. Ramon Noches motioned to approve the concept of framing. Jenifer Flaxbart seconded. There was no discussion. A vote was held. The motion passed.

Kathleen Jenkins, producer of Texas Stories radio series, spoke on her new radio project, Texas Stories, for which she is seeking a non-profit sponsor. Dianna Dorman moved that the Friends support the idea of serving as the non-profit sponsor for Texas Stories, with the Executive Committee making the final decision. Ramon Noches seconded. A vote was held and the motion passed.

6. Possible Program at Texas Library Association 2005 Conference

7. Set Future Board Meetings Dates for upcoming meetings of the Friends board will be distributed by mail.
